Short answer: most clinics should start with the WhatsApp or WhatsApp Business app and send reminders with one tap — it is free and needs no setup. Move to the WhatsApp Business Platform (often called the WhatsApp Business API or Cloud API) only when the volume of reminders makes tapping each one impractical; it sends messages automatically but requires a Meta business account, approved message templates and per-message billing from Meta.
The three options
1. WhatsApp (personal app)
The ordinary app many clinicians already use. It can open a pre-written message from a click-to-chat link and send it with one tap. It has no business profile and mixes clinic and personal chats, which is why most practices prefer the Business app.
2. WhatsApp Business app
A free app from Meta for small businesses. It adds a business profile (address, hours, description), labels for organising chats, quick replies and automatic greeting or away messages, and broadcast lists. Messages are still sent by a person, from a phone or linked device. Broadcast lists reach only contacts who have saved the clinic’s number.
3. WhatsApp Business Platform (Cloud API)
Meta’s programmable service for sending and receiving WhatsApp messages from software. There is no app to tap: a system such as LetPsyc sends messages through the platform, and receives delivery receipts, read receipts and replies via a webhook. It requires a Meta business account, a phone number registered on the platform, and templates approved by Meta for any message the business starts outside a 24-hour window after the customer last wrote. Meta bills per message, at rates that depend on country and template category.
Side-by-side for clinic reminders
| WhatsApp / Business app + one-tap links | WhatsApp Business Platform (Cloud API) | |
|---|---|---|
| Who presses send | A person, one tap per message | Nobody — messages send on schedule |
| Setup | None | Meta business account, number registration, template approval, webhook |
| Message cost | Free | Billed by Meta per message |
| Wording | Editable each time | Must match an approved template |
| Delivery and read tracking | Ticks visible in the app only | Recorded in your system automatically |
| Opt-out handling | Clinician records it | “STOP” replies can be captured automatically |
| Phone number | Your existing WhatsApp number | A number registered for the platform; check Meta’s current onboarding options for using an existing Business app number |
Which should your clinic choose?
- Solo practitioner or small clinic: the WhatsApp Business app with one-tap sending. A day’s reminders take a minute or two, cost nothing, and you can adjust the wording for each patient.
- Busy clinic with a receptionist: still one-tap sending, from a shared clinic number on the Business app, worked through as a daily queue.
- High-volume clinic or hospital department: the Business Platform, so reminders go out on time without anyone tapping, with delivery tracked in the record.
The choice is not permanent. Starting manual and moving to automatic later is common, and the patient sees the same kind of message either way.
What does not change, whichever you use
- Consent: message only patients who have agreed, and keep care messages and greetings separate.
- Confidentiality: no clinical words in any message, because a phone is often seen by others.
- Opt-out: a clear way to stop, honoured immediately.
- Risk: a patient with a recent risk flag gets a personal call, not an automated message.
These are covered in detail in WhatsApp appointment reminders and follow-ups for psychologists.
How LetPsyc supports both
LetPsyc writes due reminders, check-ins and follow-up invitations for each patient in English, Roman Urdu or Urdu. Without any setup, they wait in Today’s queue and open in your own WhatsApp with one tap. If your clinic connects its own WhatsApp Business Platform number in Settings, LetPsyc submits its built-in templates to your account for Meta’s approval and then sends approved messages automatically, recording delivery and read receipts; anything it cannot send automatically stays in the queue for one-tap sending. LetPsyc does not add a fee for messaging — automatic messages are billed to the clinic by Meta.
Key takeaways
- The WhatsApp Business app plus one-tap links is free, immediate and right for most clinics.
- The WhatsApp Business Platform automates sending but needs approved templates, setup and Meta billing.
- Consent, confidentiality, opt-out and risk handling apply equally to both.
